Annual Cycle



Annual Evaluation Cycle

 

October 1 – New fiscal year begins.

 

October 12 – Self-evaluations of previous year’s Authorization Requests (ARs) are to Evaluation Director from project managers.

 

October through end of December – Complete evaluation of all of previous year’s ARs. Process includes: comparing AR/self-evaluation; interviewing project managers; writing final individual reports; and developing overviews and executive summaries.

 

Monthly – Monitor projects for opportunities to return unused funds to the budgeting process.

 

Ongoing – Conduct two to four Joint Evaluation Advisory Committee meetings during the fiscal year.

 

January/September – Conduct two to four Project Evaluation Audits.

 

January/September – Conduct evaluations of all ARs that are completed during the course of the year.

 

January – Distribute completed evaluation reports to all program committee members, staff, USDA, etc.

 

January – Present evaluation reports to program committees at winter meeting.

 

February – Review objectives of any budget amendment ARs for the April Operating Committee meeting. Complete the “pre-evaluations” of those ARs.

 

April – Prepare the annual Evaluation Plan and Budget for presentation at the June Operating Committee meeting.

 

April – Review objectives of any budget amendment ARs for the June Operating Committee meeting. Complete the “pre-evaluations” of all ARs.

 

May – Begin review of mid-year evaluation reports.

 

June – Provide Operating Committee with an evaluation report and present the annual Evaluation Plan and Budget.

 

June – Complete the summaries of the mid-year evaluations.

 

July – Distribute the mid-year evaluation reports to program committees for consideration at the summer meeting.

 

August – Review objectives of all ARs for the September Operating Committee meeting. Complete the “pre-evaluation” of all ARs.

 

September – Provide the Operating Committee with an evaluation report.
